Business email & collaboration · Corpus Christi & Coastal Bend

Microsoft 365 & Google Workspace: make the tools fit your team.

Email, calendars, documents, and account access should make work easier—not leave your staff guessing who owns a problem.

Setting up a new environment, planning a move, or improving the one you have? Copano IT helps with new setup, migrations, ongoing administration, security configuration, and end-user support. We define the specific work in a project or support agreement after reviewing your environment.

Start with the workday

  • Where do staff lose time in email or files?
  • Who approves new and departing users?
  • What must keep working during a change?
  • Who manages your subscriptions and billing today?

The practical problem

A shared platform still needs clear ownership.

A missed access change, confusing file permission, or poorly timed email cutover can become everyone’s problem. The platform itself is only one piece; someone must know the current setup, approve changes, and decide who handles issues after launch.

For small businesses across Corpus Christi and the Coastal Bend, a useful first step is to map the users, existing email and files, critical workflows, and the people who can authorize changes.

Keep the decision grounded

There is no automatic reason to switch platforms. If your team already works well in one environment, improving its setup and support path may be more useful than migrating.

Service areas · scope agreed before work begins

Choose the work that actually needs doing.

These service areas are subject to confirmation with Copano IT, not automatically included. A project or support agreement should name the platform, users, data, permissions, responsibilities, service fee, and exclusions before work begins. Clients manage platform subscriptions and billing directly with Microsoft, Google, or their chosen reseller; Copano IT scopes its services separately.

New setup & account access

Discuss setting up a business environment, domain and DNS coordination, users, shared addresses, and joining/leaving procedures. Confirm who controls DNS, who approves access, and the exact configuration Copano IT will handle.

Migration assessment & execution

For a proposed move, identify source systems, mailboxes, calendars, contacts, files, shared access, timing, and validation. Migration tooling and what actually transfers depend on the source and destination; execution requires its own confirmed project scope.

Security configuration

Discuss configuring sign-in verification, admin access, and sharing controls alongside suspicious-message handling. Available controls depend on the selected edition and environment; no setting alone guarantees security or compliance.

End-user support

Define covered account requests, email and calendar questions, file-sharing help, and vendor escalation. Set request channels, hours, authorization, and any limits in writing.

Ongoing administration

Discuss periodic access reviews, user changes, settings reviews, and documentation. Recurring administration needs an agreed support scope; it is not automatically part of setup or a platform subscription.

Backup & recovery questions

Identify the records that matter and ask how they would be recovered. Retention, platform features, and independent backups are different decisions; see backup planning.

Neutral platform discussion

Microsoft 365 or Google Workspace?

Both offer business email and collaboration tools. The better fit depends on how your staff works, the files and apps they use, and the controls available in the plan you choose—not a blanket winner.

Microsoft 365

Worth discussing if Outlook, Office documents, Teams, or existing Microsoft workflows are central to the day. Ask which email, desktop-app, device, and security features the proposed plan includes.

Google Workspace

Worth discussing if Gmail, Drive, Docs, Calendar, or browser-based collaboration are central to the day. Ask which storage, administration, meeting, and security features the proposed edition includes.

Already invested in one? Compare the cost and disruption of a move with fixing the workflow you have. Cross-platform migration, coexistence, third-party integrations, and complex data moves require separate feasibility review.

Set expectations before access changes

A clearer scope starts with clear boundaries.

Agree on the work

Document the current tenant or domain, user count, source data, admin ownership, approvals, target configuration, migration test and cutover criteria where relevant.

Subscriptions stay with you

Clients manage Microsoft 365 or Google Workspace subscriptions and billing directly with Microsoft, Google, or their chosen reseller. Copano IT’s setup, migration, security, administration, and support services are scoped and priced separately. Confirm third-party app work, backup, and after-hours assistance as separate boundaries.

A practical start

Talk through the environment before choosing a project.

01 / Discover

Describe what is not working

Tell us about staff workflows, existing subscriptions, domains, files, sign-in problems, and who supports them now.

02 / Confirm

Define the responsibilities

Review which service tasks Copano IT can offer, which need a specialist or vendor, and what access and approvals are needed. Subscription and billing decisions remain with you and your platform provider or reseller.

03 / Decide

Choose the next step

Keep the platform and improve the process, scope a discrete change, or consider a migration only after feasibility and cost are clear.

Common questions

Before you change your email or collaboration tools

Can we keep the platform we already use?

Yes, that should be part of the discussion. A better account process, permissions review, or clearer support arrangement may solve the problem without changing platforms. Whether Copano IT performs the work is confirmed in the proposed scope.

Can you move our email and files to another platform?

A migration assessment and execution can be discussed as a separate project. The source, destination, data types, permissions, downtime tolerance, and test plan determine feasibility and the work to propose. Email-only migration methods may not transfer calendars, contacts, or files.

Who handles platform subscriptions and billing?

You manage subscriptions and billing directly with Microsoft, Google, or your chosen reseller. Copano IT does not directly license, resell, or bill Microsoft 365 or Google Workspace subscriptions; its service work is scoped and priced separately.

What account security can we discuss?

Sign-in verification, administrator access, user lifecycle, and sharing controls are sensible configuration topics. The selected plan and existing environment determine what is available; any implementation and follow-up must be agreed, and no configuration guarantees compliance.

Is ongoing administration and end-user support included with setup or Managed IT?

Not automatically. A one-time project and recurring administration or user help are different arrangements. Define users, apps, support channels, hours, escalation, and provider responsibilities in the agreement; do not assume after-hours coverage.

What do you need from us before a change?

A contact who can approve access and subscription decisions, an inventory of users and current services, authorized domain and admin access, and a list of workflows that cannot be interrupted. The exact requirements follow from the agreed work.
